POPIA Notice

Version 1.0, effective 7 September 2026.

This is the notification required by section 18 of the Protection of Personal
Information Act, 2013. It is deliberately short. The full detail is in the
Privacy Policy.

Who is collecting your information

Your employer is the responsible party - they decide what is collected and
why.

Bateman IT Solutions is the operator, processing it on their instruction to
run the software.

What is collected

Your name and contact details; your role and permissions; the work you record,
complete or approve; time entries when you use the job timer; photos and
documents you upload; your drawn signature where an action requires one;
vehicle logbook entries where used; leave requests, including any reason you
give; and a log of your actions in the app including your IP address, device and
browser.

Why

To run and record maintenance operations, notify the right people, and produce
records your employer must keep for audit, tax, insurance and compliance
purposes.

Is providing it voluntary?

Mostly no. Your name, account details and a record of the work you do are
required for you to use the system as part of your job.

Voluntary: your phone number (only needed for WhatsApp notifications),
turning on push notifications, and the detail you choose to give in a leave
reason.

Consequences of not providing it

Without the required information an account cannot be created and work cannot
be assigned to or recorded by you. Withholding voluntary items only means you
will not receive those notifications.

Who receives it

Administrators, managers and supervisors within your organisation, and the
service providers listed in the Privacy Policy (email, push notification, and
where enabled WhatsApp and AI drafting). Some are located outside South Africa,
so your information may be transferred across borders in terms of section 72.

Your rights

You may request access to your information, ask for correction or deletion of
information that is inaccurate or no longer needed, and object to processing.
Direct these requests to your employer, copied to the Information Officer above.
